The gap between "scheduled" and "done"
Almost every rental fleet has a maintenance interval defined somewhere, by mileage, by time, or both. The failure point is rarely the schedule itself, it's that nothing actually stops a vehicle from being booked and sent out once it's overdue, because the booking system and the maintenance record don't talk to each other.
Make overdue vehicles unbookable, not just flagged
A maintenance alert that shows up in a report nobody opens daily doesn't prevent anything. A vehicle that's overdue for service should be automatically removed from available inventory until it's cleared, the same way a vehicle that's currently out on rental is unavailable.
Track by vehicle, not by fleet average
Rotate the vehicles that get the highest usage (the classes with the best utilization, which is exactly why they need closer attention) into more frequent inspection, rather than applying one interval to every vehicle in a class regardless of how hard it's actually been driven.
The payoff shows up as fewer emergencies
Fleets that enforce this consistently see fewer roadside breakdowns and last-minute swap-outs, which matters more than the maintenance cost itself, since an emergency swap mid-rental damages the customer relationship in a way a routine service appointment never does.
