The point where things start slipping
A single-location operation runs on tribal knowledge: the manager knows every vehicle, every regular customer, and every quirk of the local market. Add a second and third location, and that knowledge doesn't transfer, each site starts making its own calls on pricing, damage policy, and even what counts as an acceptable return condition.
What should be identical everywhere
Damage and deposit policy, payment handling, booking rules, and how a vehicle's condition is documented at handover should be the same at every location. These are the things that create legal and financial exposure when they're inconsistent, and customers notice immediately when one location's rules contradict another's.
What can stay local
Local market pricing, staffing schedules, and which vehicle classes a location stocks can and should differ, since demand at an airport location looks nothing like demand at a downtown counter. Standardizing these usually just makes both locations worse.
The real fix is one shared record, not more meetings
Most of this isn't solved by writing a longer policy document, it's solved by every location working off the same fleet, booking, and customer record instead of separate spreadsheets or separate logins. When a vehicle's condition, availability, and history are visible from any location, a lot of the inconsistency disappears on its own.
